The client query has many uses - it can give you a simple list of all the patients in your organization (as well as their demographic information), it can be used to gather emails to export to your mailing server, or you can create a fall off report/check your patient load. This article will take you through the reports mentioned above.
To begin, you'll want to go to Management and select Clients to open the reporting tool.
Client List
Pulling a client list is the easiest of them all - once you have the reporting tool open just click GO:
If you'd like to see a list of all your discharged patients select Yes beside the discharged option:
If you know your patient has more than one treatment plan you can also utilize the Show All Matching T.Plans of each Client button and in the report it will pull them all:
Client Email List
Pulling an email list is the same as above - you can simply select GO or you can narrow it down per provider by using the managing practitioner or client practitioner drop downs. In this example, we are simply selecting GO:
Click the email header twice and it will sort all your emails from top to bottom. You can then click and drag your mouse until you reach the end of the patient emails > right-click and choose save selected to file:
You can then take this, import it into excel to gather the emails only and paste them into your mailing server.
Fall Off Report
Let's say we want to check how many undischarged patients have not attended since the beginning of the month and before:
When we use just the last box it essentially pulls appointments from the beginning of time until the date chosen in the second box.
First booked date range: Show all the clients that had their very first appointment (per treatment plan) within that range
Last booked date range: Show all the clients that had their very last appointment (per treatment plan) within that range
This brings up a list of 11 patients. In order to print this, I will right-click anywhere in the list space, and you will see the option to print "Client Detail" there!
You will want to ensure all the phone numbers are correct or the file will not save. I would look out for anything with extra digits, missing digits or names as the extension. The report I pulled above is using ALL practitioners but you can't narrow it down per practitioner by using the client practitioner drop down:
