Setting up PencilThat

PencilThat was designed to give the clinic full control over what is available for booking online; therefore, you will need to customize PencilThat in the following areas:

Organization Details

  • Click System Setup Tab
  • Click Organization
  • Click Organization Details
  • Check PencilThat
  • Click OK

Clinic Locations

  • Click System Setup Tab
  • Click Organization
  • Click Clinic Locations 
  • Edit Location
  • Check PencilThat
  • Ensure an email is entered in the E-Mail box
  • Click OK

Resources

  • Click System Setup Tab
  • Click Organization
  • Click Resources
  • Select Resource Type (Top Window)
  • Edit Resource (Bottom Window)
  • Check PencilThat
  • Click OK

Appointment Types

  • Click System Setup Tab
  • Click Clinical
  • Click Appointment Types
  • Edit Appointment Type
  • Check PencilThat
  • Click OK

Availability

  • Click Appointment Book Tab
  • Right-click Appointment Cell
  • Click Modify Availability
  • Check PencilThat
  • Click OK

Invite Clients

  • Open Client Folder
  • Enter Email Address
  • Click Invite Client to PencilThat (White Envelope)

Your client will than receive an email with a registration link. The client must click the link within 15 days to confirm their personal details and create a password. The client can then visit www.pencilthat.com to see their upcoming appointments and book future appointments.
