Here are the definitions for all of the icons that will appear on the appointment book.
1. Future Appointment Status
Icon "<<" will help you know if you need to book a future appointment for the client.
- Smith, Jane
- There are future appointments booked for Jane Smith
- <<Smith, Jane<<
- There are NO future appointments booked for Jane Smith
2. Point of Care Form Attached
Quickly see if a PoC Form is attached and if it's complete.
- PoC Form attached but not completed
- PoC Form attached and completed
Attach a PoC Form by doing the following:
- Right-click Appointment
- Click Attachments
- Click PoC Form Entries Tab
- Right-Click white space
- Click Add
3. Visitor
The client is from another location.
- Appointment is not at client's default location
4. Appointment Type
Quickly identify which appointment type is booked.
Configure this icon by doing the following:
- Click System Setup Tab
- Click Clinical
- Click Appointment Types
- Add/Edit Appointment
- Click Icon (top right)
5. Funding Stream
Quickly see how this client is being funded.
- Client pays own appointments
- A standard third party funder is covering the appointments
- Government funding is covering the appointments
- This appointment is covered as a work related injury
- This appointment is covered as a motor vehicle accident
Edit this icon in the client's treatment plan by doing the following:
- Open Client Folder
- Click Records Tab
- Edit Treatment Plan
- Click Diagnosis Tab
- Set Funding Stream
- Click OK
6. Appointment Status
Keep track of the status of the appointment.
Confirmed
- Client has confirmed they will attend appointment
Rebooked
- Client has rebooked their appointment
Cancelled
- Client has cancelled their appointment
No Show
- Client did not show up for their appointment
Arrived
- Client has arrived for their appointment
Completed
- The appointment has been completed
e-Reminder Sent
- e-Reminder has been sent
e-Reminder Confirmed
- e-Reminder has been confirmed
Change the status by doing the following:
- Right-click Appointment
- Click Set Status
- Select Status
7. Financial Status
Quickly see the financial status of the appointment.
Balance owing on account
- Balance owing on client's account
- Appointment is not charged
Appointment charged and balance owing on account
- Balance owing on client's account
- Appointment is charged
Appointment charged and no balance on account
- No balance owing on client's account
- Appointment is charged
8. Third Party Coverage Status
Quickly see the status of third party coverage.
Patient Payable
- No coverage plan
- Coverage plan has run out or expired
- Coverage plan does not cover 100%
More than 25% remaining
- Coverage with more than 25% limits remaining
Less than 25% remaining
- Coverage with less than 25% limits remaining
Plan expired
- The plan has expired due to one or all of the following areas:
- Expiry date
- Max Covered
- Max Treatments
You can review the status of the client's payment plan by doing the following:
- Open Client Folder
- Click Billing Tab
- Edit Payment Plan (top window)
